Getting started
Is Stay Collection free to join?
Yes — signup and all core features are free forever. No subscription, no per-booking fee, no revenue share. Stay Collection is funded by the hotel brands themselves through their incentive programs. The only paid feature is optional promotion tiers, which give agents early access to certain flash incentives and exclusive bucket multipliers.
What credentials do I need to join?
We accept IATA, ABTA, CLIA, and independent agents with a valid ATOL or equivalent bonding. Your credentials are verified during the 24-hour approval process. If you're unsure whether you qualify, email agents@thestaycollection.com before applying.
How long does approval take?
Most applications are reviewed within 24 hours on business days. You'll receive an email when your account is approved or if we need additional information.
Can I join if I'm outside the UK?
Yes. We welcome agents from all 18 countries currently on the platform, including the US, UAE, EU, and Asia Pacific. Payouts are issued in GBP via international bank transfer for non-UK agents.
Bookings & incentives
What counts as a qualifying booking?
A qualifying booking is any reservation made via GDS, OTA, or direct with a participating hotel during an active incentive window, confirmed with a valid PNR. Each program page lists exact rate codes, booking windows, and minimum stay requirements.
How do I submit a booking for a reward?
Log in to your portal, navigate to Bookings, and submit the booking with your PNR, hotel confirmation number, guest check-in date, and room rate. The hotel confirms eligibility within 5 business days.
Can I combine Stay Collection rewards with regular hotel commissions?
Yes, in most cases. Stay Collection rewards are paid directly by APLBC and are separate from any commission arrangement you have with the hotel. However, some hotel programs may have exclusivity clauses — these are clearly noted on each program page.
What happens if my client cancels?
If a booking is cancelled before the incentive window closes, the reward is reversed. Cancellations after checkout are reviewed case-by-case. We follow the same rules as the hotel's own cancellation policy for reward eligibility.
Payouts
How and when do I get paid?
Monthly BACS transfers on the 30th of each month for all approved bookings from the previous month. You can also choose travel credits redeemable at any partner property. Minimum payout threshold is £50.
What if my balance is under £50?
Your balance rolls over to the next month automatically. Once you hit £50, payment is included in the next monthly run. There is no expiry on accumulated balances.
How do I add or update my bank details?
Log in to your portal and navigate to Settings > Payout details. Changes take effect for the following month's payment cycle. Make sure details are updated by the 25th of the month to be included in that month's run.
Tiers & promotions
How do tier reviews work?
Tiers are reviewed annually on 1 January based on your total approved rewards in the previous 12 months. You can see your running total at any time in your portal profile. Tier upgrades take effect immediately; downgrades take effect at the next annual review.
What are the tier thresholds?
Silver is the default entry tier. Gold requires £2,500 in approved rewards over 12 months. Platinum requires £7,500. Exact thresholds and benefits are published in your portal under the Tiers section.
What are Promotions?
Promotions are optional paid subscription tiers that give agents access to boosted incentive rates, early access to flash deals, and exclusive MICE programs. They are separate from the main Silver/Gold/Platinum tier system and can be purchased monthly or annually.
